Primary Purpose:

The primary responsibility of the Medical Wellness Coordinator is to support the program nurses, the program doctors, and the overall Wellness program while providing necessary overall program administrative support. This is accomplished by maintaining medication systems and as well as essential Wellness Department administrative duties including assisting in medication self-administration for the residents of Pacific Quest. On time delivery and restocking of all student medications, non-prescriptive agents and personal effects will be the part of the responsibilities of the Medical Wellness Coordinator as well as organizing and improving the efficiency of the wellness office in its daily operations. The Medical Wellness Coordinator will act as the liaison between the field team and the Program Nurses. Under the supervision of the Program Nurses, the Medical Wellness Coordinator will perform a variety of support duties that include but are not limited to field wellness plan creation, parent communication, internal and external communication, staff training support, medication self-administration, inventory, and maintenance of student financial and program files. The Medical Wellness Coordinator will additionally provide administrative support and compliance monitoring for the integrative psychiatry program.

Essential Duties and Responsibilities:

  • Prepare medications for self-administration at Reed's Bay or one of the resident facilities.

  • Deliver and stock all essential medications, supplements, non-prescriptive agents, and personal effects to the students of Pacific Quest

  • Timely and clear communication regarding any Wellness Department issues and needs

  • Maintain documentation in electronic records system

  • Perform Weekly Wellness Checks and report to Program Nurses

  • Field Wellness Plan creation in coordination with the Program Nurses

  • Prepare the Wellness, Field, and Logistics Departments before student arrives on Field Wellness Plan details, as needed

  • Update Field Wellness Plans per doctors' orders and ensuring implementation and follow through

  • Update medication tabs and medication sheets as needed in coordination with the Program Nurses

  • Communication with parents and outside providers to obtain consent via phone and email regarding treatment plan updates and changes, and otherwise as needed and assigned regarding medications, supplements, and medical records

  • Manage internal and external daily communication via email, phone and electronic data systems in coordination with the Program Nurses; distribute and assign tasks as needed

  • Supplement template letters to parents, as needed

  • Maintain and update all Wellness systems and protocols in areas of responsibility

  • Maintain and Track Wellness Supply Items via Inventory Spreadsheets and tracking systems

  • Maintain wellness supply systems - inventory, delivery and stocking - with a continual eye to improvement

  • Ensure maintenance of weight radar

  • Ensure maintenance of meal tracking and weight tracking systems

  • Prepare arrival and departure medications

  • Monitor Arrival and Departure Vitals

  • Participate in trainings as assigned

  • Maintain lab radar support system:

  • orders, requisitions, and results

  • Notify ordering doctor when lab results are posted

  • Record lab results in BN Vitals with the program nurses

  • Scheduling students for labs

  • Integrative Psychiatry Assistant and Liaison

  • Facilitate IP appointments

  • Facilitate Acupuncture appointments

  • Scheduling medical appointments and being the liaison between the outside medical provider, parents, and Program Physicians as needed

  • Medical template letter creation with the Program Nurses

  • Discharge Health Summary template creation

  • Set up families with Wellevate

  • Huli Ka'e Clearances with the Program Nurses

  • Assist in the uploading of all Wellness-related student receipts and charges for the Finance Department; auditing prior to final billing

  • Coordinating with leadership to design health and wellness goals

  • Developing programs to address issues of health and wellness

  • Other ad hoc duties as necessary

Skills/Qualifications:

  • Preferred: at least 1-year experience as a Pacific Quest employee, CNA, LPN, or at least one-year medical training-based experience

  • Advanced computer skills to include, Windows, Mac OS, Office, Acrobat, and Google Docs

  • Office management and customer service experience

  • Must maintain current CPR (from classroom training) and First Aid certification. No substitutions will be accepted for First Aid certification (i.e. Wilderness First Aid, Wilderness First Responder, etc.).

  • Must pass a thorough background check and drug screen

  • Valid driver's license with clean record required

  • Annual physical and TB clearance required and must be kept current

  • Able to lean into challenges and give 100% while at work

  • Must be 21 years or older in order to meet company driving requirements for this position

Work Hours:

  • Tuesday 6am-2pm, Wednesday 10am-6pm , Thursday 6am-2pm Friday 6am-1:30pm, Saturday 6am- 2pm will vary depending on coverage needs

  • Office location will be split between both Programs; it will be necessary to travel between Pacific Quest sites as needed to support the Wellness Department

With or without reasonable accommodation, the physical and mental requirements of this job may include the following: seeing, hearing, speaking, and writing clearly. Occasional reaching with hands and arms, stooping, kneeling, crouching, frequent sitting, standing and walking, may be required for long periods of time and may involve climbing stairs and walking up inclines and on uneven terrain. Additional physical requirements may include, frequent lifting and or moving up to 25 pounds.
